Adding Calls or Tasks

The below will outline how to add a Call. To add a Task, follows the same process as scheduling a future call, just use the Add a Task button instead of Add a Call.

To start, select the blue + button in bottom right of the page and then Call or select Add a Call directly from the Agenda screen. The next screen will show your Call Options. 

Select Make to indicate that you are making an outbound call

  1. Add your Contact's name under Guest's name: Type in a few letters (or numbers) to search for the person you want to call. When you find your Contact, select their name from the drop-down list. (The person does need a Contact record before you can make an outbound call. You can search by name, phone or email.)
  2. Select a Call Type. This is simply a title to categorize the call for notes and reminders.
  3. Select a Call Owner. This is the staff person who is making the call.
  4. Select Make Call

Select Take to open your Telephone Inquiry script and add a new phone lead (TI)

  1. Add in your caller's name and contact details (phone and/or email)
  2. Select a Lead Source using the drop down arrows under How did you hear about us?
  3. Select a Lead Owner
  4. Select a product type (do you want to add a Membership Lead or PT Lead?)


Select Book to schedule a call for a future date or time

  1. Add your Contact's name under Guest's name: Type in a few letters (or numbers) to search for the person you want to call. When you find your Contact, select their name from the drop-down list. (The person does need a Contact record before you can schedule an outbound call. You can search by name, phone or email.)
  2. Select a Call Type. This is simply a title to categorize the call for notes and reminders.
  3. Select a Call Owner. This is the staff person who will be making the call.
  4. Select the date and time for when you want this call to show on the Call Owner's Agenda
  5. You can also add a note about the call. E.g., "remember to ask about her recent vacation!"
  6. Select Create
